Refund & Cancellation Policy

This Refund and Cancellation Policy explains how Volaerisjet handles charter cancellations, applicable charges, refunds, no-shows, and related requests. It should be read together with our Terms and Conditions and the written arrangements provided for an individual charter.

Volaerisjet operates from Hong Kong and follows a consultation-based charter process. Our website does not support payments or direct aircraft bookings. Payments may be made using available options after consultation and acceptance of the applicable charter arrangements.

1. Cancellation at a Glance

Cancellation terms depend on when Volaerisjet receives the customer's request in relation to the accepted departure time.

Cancellation Situation Applicable Outcome
48 hours or more before departure Full refund
Less than 48 hours before departure 50% cancellation fee
Passenger no-show Full paid amount charged
Flight-plan change Request at least 72 hours before departure

All time calculations are based on the departure time stated in the accepted itinerary.

2. How to Cancel a Charter

All cancellation requests must be submitted by email to the Volaerisjet team at flying@volaerisjet.com.

The email should contain sufficient information for us to identify the affected charter, such as:

  • Customer name
  • Scheduled departure date
  • Scheduled departure time
  • Relevant itinerary details
  • Clear cancellation request

The time Volaerisjet receives the cancellation email determines which cancellation provision applies. Customers are therefore encouraged to send cancellation requests as soon as they decide not to proceed with an accepted charter.

3. Cancellations Made 48 Hours or More Before Departure

If Volaerisjet receives the cancellation request at least 48 hours before the accepted departure time, the customer is eligible for a full refund of the amount paid for the affected charter.

The refund will be handled according to the applicable arrangements communicated to the customer.

Where additional information is reasonably required to process the refund, the customer may be asked to provide it before processing can proceed.

4. Cancellations Within 48 Hours

If the cancellation request is received less than 48 hours before the accepted departure time, a cancellation fee equal to 50% of the amount paid for the affected charter will apply.

The remaining 50% will be eligible for return through the applicable refund process.

This provision reflects the scheduling and operational arrangements that may already have been made for the charter by that stage.

5. No-Shows

Passengers must arrive at the applicable airport at least one hour before the scheduled departure time.

Where the customer or relevant passenger fails to arrive and does not travel on the scheduled charter, the situation may be considered as a no-show.

A no-show results in the full amount paid for the affected charter being charged, and no refund will be available for that amount.

Customers who expect to experience a delay should contact Volaerisjet promptly. Contacting our team does not automatically remove the no-show provision if the charter can no longer proceed as scheduled.

6. Changes Are Different From Cancellations

A request to alter an accepted flight plan is handled separately from a cancellation. Contact us at flying@volaerisjet.com.

Changes to an accepted itinerary must be requested at least 72 hours before the scheduled departure time. Requests may concern departure times, destinations, routing, passenger arrangements, or other itinerary details.

Any proposed modification remains subject to aircraft availability, scheduling, airport requirements, operational feasibility, and any resulting adjustment to the quoted amount.

A requested change is not effective until the revised arrangement has been accepted through the applicable charter process.

7. Operational Cancellations

Aircraft operations can be affected by weather, airport restrictions, air traffic requirements, regulatory directions, route limitations, aircraft availability, or circumstances outside reasonable operational control.

Where Volaerisjet cannot operate an accepted charter, the circumstances will be assessed and available alternatives or applicable refund arrangements will be communicated to the customer.

Nothing in this Policy limits a right or responsibility that cannot lawfully be excluded under Hong Kong law.

8. Hong Kong Legal Framework

This Policy is governed by the laws of the Hong Kong Special Administrative Region.

Where applicable, contractual provisions will operate with regard to relevant Hong Kong legislation, including the Control of Exemption Clauses Ordinance (Cap. 71). Personal information supplied when requesting or processing a cancellation or refund will be handled in accordance with our Privacy Policy and the Personal Data (Privacy) Ordinance (Cap. 486).

Electronic cancellation requests and related records may also be handled with regard to the Electronic Transactions Ordinance (Cap. 553) where applicable.

9. Policy Consistency

This Policy forms part of the wider Volaerisjet charter framework and should be read together with our Terms and Conditions and any written conditions relating to the individual charter.

Where a customer requests a cancellation, the applicable outcome will be determined according to the accepted departure time, the time the cancellation email is received, and the circumstances of the charter.
